TOURIST DEVELOPMENT DEPARTMENT MEMORANDUM DATE: December 15, 2016 TO: Tourist Development Council FROM: Darrel Jones, Interim Tourist Development Department Director Bill Leaman, Convention Center General Manager SUBJECT: Aramark Contract Renewal STATEMENT OF ISSUE: Request approval for a one-year contract extension to Aramark contract C14- 2185-TDD for the provision of food and beverage/catering services at the Emerald Coast Convention Center. BACKGROUND: The Aramark contract provides for a total of three (3) one-year extensions beyond the initial term expiration of June 2, 2015. The first extension was for an additional seven months through January 2, 2016 to align contract renewal periods with the calendar year to minimize the impact on event operations at the Emerald Coast Convention Center. A one year extension through January 2, 2017 was subsequently approved. Staff recommends executing another one year contract extension through January 2, 2018. Aramark has requested the following modifications to contract terms. Staff has no objections. 1. Ability to use vacant rooms at no charge on event days for food & beverage staging to better serve clients. 2. Reduce the number of third-party functions allowed to use kitchen facilities from 16 to 10 annually. 3. Modify off-site catering compensation from $500 per event day to 20% of gross receipts. Pursuant to section E.300 of the TDD Manual, the Council shall review and provide a recommendation for all proposed contracts requiring Board approval and expenditure of tourist development tax dollars. OPTIONS: Approve or Deny RECOMMENDATION TO BCC: Approve Amendment 3 to Aramark contract C14-2185-TDD for a one-year contract extension through January 2, 2018 for the provision of food and beverage/catering services at the Emerald Coast Convention Center.
