STATEMENT OF ISSUE: Request approval of the ratification and First amendment to the
contract with Potpan’s Asphalt Maintenance, LLC. (C15-2327-WS)
BACKGROUND & ANALYSIS: The County currently has a contract with Potpan’s Asphalt
Maintenance, LLC. to provide asphalt repair and patching. The contract currently has a
signature authority which allows signatures by the Purchasing Manager. However, the new
contract price and expenditures will exceed the threshold of the Purchasing Manager. Therefore,
the Chairman of the Board will need to sign all future contract amendments. Recent legislative
action requires that language regarding public records request be added to all contracts that will
be valid after July 1, 2016. Staff is incorporating the language as an amendment and including
the ratification of the Chairman’s signature option within the document. Staff requests approval
of the ratification and Amendment and requests authorization for the Chairman to sign the
document.
OPTIONS: Approve/Deny the Amendment and ratification with Potpan’s Asphalt Maintenance,
LLC and authorize the Chairman to sign the document.
RECOMMENDATION: Staff recommends approval of the Amendment and ratification with
Potpan’s Asphalt Maintenance, LLC and authorize the Chairman to sign the document.
