BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: September 20, 2016 TO: Honorable Chairman and Members of the Board FROM: Zan Fedorak SUBJECT: Request approval to remove a Court Admin item from the fixed asset ledger DEPARTMENT: Purchasing BCC DISTRICT: ALL STATEMENT OF ISSUE: Request County Asset No. 17047 APC Smart UPS be removed from the fixed asset ledger. BACKGROUND & ANALYSIS: First Judicial Circuit Court Administration has computer equipment that is housed in the Walton County Courthouse. These items, per policy, are required to be inventoried annually. During the FY16 annual inventory it was discovered that an APC Smart Uninterrupted Power Source (UPS) failed and had been replaced with a new unit. However, the inoperable unit that had been discarded was not documented properly. Staff requested the Court Administration MIS Manager to obtain a police report. This was requested to fully document the missing item because it was not housed within an Okaloosa County facility. The police report was completed and no theft or misuse of the item was suspected. Staff now requests that the asset number 17047 be removed from the fixed asset ledger. The Tangible Personal Property, Commodity Inventory and Accountability Manual, in accordance with Florida Statutes, requires that any item that is to be removed from the fixed asset inventory and ledger must be presented to the Board for approval. These decisions for removal must be noted in the minutes of the Board meeting in accordance with policy and Florida Statute. OPTIONS: Approve/Deny removal of an APC Smart UPS, asset number 17047 for Court Administration, be removed from the fixed asset ledger. RECOMMENDATION: Staff recommends approval of an APC Smart UPS, asset number 17047 for Court Administration, be removed from the fixed asset ledger.
