BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: June 2, 2015 TO: Honorable Chairman and Members of the Board FROM: Jason Autrey SUBJECT: FDOT Traffic Signal Maintenance Compensation Agreement DEPARTMENT: Public Works BCC DISTRICT: ALL STATEMENT OF ISSUE: Florida Department of Transportation (FDOT) requests approval of the proposed Traffic Signal Maintenance and Compensation Agreement referred to as the "Agreement", along with a signed/dated document for the first year’s lump sum compensation. BACKGROUND: Since 2002 the County has been providing maintenance for traffic signal devices along the state roadway system within the county in accordance with Contract #AM248. This ongoing agreement with FDOT provides reimbursement to the County for the maintenance of signalized intersections. Recently FDOT decided to include additional devices and a new reimbursement fee schedule as described in Exhibits A and B of the Agreement. The Agreement's Exhibit A is a template listing the possible devices for reimbursement while the Agreement's Exhibit B provides the fee schedule for the devices. Annually, FDOT provides a document listing intersection locations and compensation amounts as defined in the Agreement for our acknowledgment. This document will vary in future years to reflect changes in the number of devices and fee schedule changes as described in the Agreement. As part of this package the FDOT has included first year’s lump sum compensation document titled “Exhibit A: Traffic Signal Intersections Maintained and Operated for FY 2015-2016” populated with the locations and compensation amounts based on the new Agreement. The previous year's reimbursement amount was $81,569.19 and now with the additional devices and new fee schedule the amount will increase to $154,432.00. The State requires the new Traffic Signal Maintenance and Compensation Agreement be approved and signed. FDOT also requires signature for the first compilation of the intersection list titled “Exhibit A: Traffic Signal Intersections Maintained and Operated for FY 2015-2016” lump sum document. FDOT requires three original signed and dated documents each. The agreement has been through the internal review process, including review by the County Attorney, and the coordination review sheet is attached. OPTIONS: Approve/Not Approve the Agreement between FDOT and Okaloosa County. RECOMMENDATIONS: Approve the Traffic Signal Maintenance and Compensation Agreement between FDOT and Okaloosa County. Approve the document titled “Exhibit A Traffic Signal Intersections Maintained and Operated for FY 2015-2016” for the lump sum amount of $154,432.00. RECOMMENDED BY: APPROVED BY: John Hofstad, County Administrator
