STATEMENT OF ISSUE: Purchasing requests Board approval to continue negotiation of a
contract with Revive Media for tourism website hosting and maintenance services. (RFP 36-16
TDD)
BACKGROUND & ANALYSIS: Tourist Development staff requested that Purchasing assist
them with the procurement of tourism website hosting and maintenance. A total of five (5)
responses were received; only four (4) were considered to be fully responsive. Purchasing staff
moderated two (2) advertised Review Committee meetings and discussions progressed regarding
the selection of a vendor. The Review Committee made a recommendation to begin contract
negotiation with Revive Media. Purchasing staff is requesting Board authorization to continue
negotiation with Revive Media as the highest ranked firm with a fully responsive submission to
the Request for Proposals. The completed contract will be brought back before the Board for
approval. In addition, website hosting and maintenance is a process that Peter Mayer has
previously been tasked to perform. The portion of the Peter Mayer contract that provided the
oversight of the website was extended to June 30, 2016. Due to unforeseen delays with
completing the process with Revive Media, the Peter Mayer contract will expire before the new
contract is in place. Purchasing will work with TDD staff to prepare documentation to cover the
minimal time that Peter Mayer will continue to oversee the website hosting and maintenance
until the contract with Revive Media can be completed.
OPTIONS: Approve/Disapprove the authorization to continue contract negotiation with Revive
Media for website hosting and maintenance for the TDD.
RECOMMENDATION: Staff recommends approval to continue contract negotiation with
Revive Media for website hosting and maintenance for the TDD.
