BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: May 17, 2016 TO: Honorable Chairman and Members of the Board FROM: Zan Fedorak SUBJECT: Request approval of contract with Airbus DS Communications DEPARTMENT: Purchasing BCC DISTRICT: All STATEMENT OF ISSUE: Request approval of the contract with Airbus DS Communications for the maintenance and support for the E911 system/network (RFP PS 13-16). BACKGROUND & ANALYSIS: Staff began contract negotiations with Airbus DS Communications on March 8, 2016. The negotiations were successful and a contract has been prepared and signed by the vendor. The Airbus DS Communications contract is to provide support and maintenance on the 911 system to ensure the uninterrupted operation of the Okaloosa County 911 system and network. The agreement includes software and hardware support on all 911 workstations and servers, a software upgrade to migrate the 911 system for increased abilities for Next Generation 911, customer record database support, and network monitoring and alerting. The agreement with Airbus will also include preventative maintenance and antivirus protection to ensure the 911 system is operating at an optimal level. The initial term of the contract is for three (3) years with two (2) one year optional extensions. The cost of the initial three (3) year period is $524,859 with the optional renewals at $174,953 annually. OPTIONS: Approve/Deny the contract with Airbus DS Communications for the maintenance and support for the E911 system/network. RECOMMENDATION: Staff recommends approval of the contract with Airbus DS Communications for the maintenance and support for the E911 system/network.
