DATE: April 1, 2014

for Information Technology S
DEPARTMENT: Purchasing
BCC DISTRICT: All
STATEMENT OF ISSUE: Purchasing seeks approval from the Board to solicit a RFQ for
Information Technology Services and to reject the previous RFQ process.
BACKGROUND & ANALYSIS: On November 5, 2013 the Board approved for Purchasing to
solicit a RFQ for Information Technology Services. At the conclusion of the RFQ process a
wording issue was discovered in the RFQ documentation. To provide a fair opportunity for all
vendors who had responded to the RFQ, it was determined that the RFQ process should be
canceled and repeated with a modified document. Purchasing is seeking approval from the
Board to move forward with a new solicitation process for the Information Technology Services
and to reject the previous process. Approval is also being requested to approve the Selection
Committee; Don Vanderhoek, Randy Sims, Donna Lawler and Dan Sambenedetto.
Department background: The Information Systems Department is requesting qualifications from
professional information technology firms for professional information technology services
including, but not limited to, networking, networking equipment, fiber connections, design,
Voice Over Internet Protocol (VoIP), routing, switching, administration, analysis, installation,
security, storage, virtual environments and email. The nature of the service will be to provide
ongoing support and coordination in order to enhance and ensure proper implementation of the
aforementioned system components.
OPTIONS: Approve/Disapprove to solicit a RFQ for Information Technology Services and to
reject the previous process.
RECOMMENDATION: Staff recommends approving to solicit a Request for Qualifications
RFQ for Information Technology Services and to reject the previous process.
