STATEMENT OF ISSUE: Request approval for payment in advance for CVENT advertising
for Oct 2016 - Sep 2017 diamond listings.
BACKGROUND: Digital advertising with CVENT places The Emerald Coast Convention &
Visitors Bureau and Emerald Coast Convention Center in front of meeting planners. The vendor
requires payment in advance in the amount of $11,225.00 for Oct 2016 - Sep 2017.
Per County policy, Board approval for advance payment may be requested if the payment results
in savings equal to or greater than the amount earned by investing the funds and paying later or if
the payment is essential to the operations of the agency and the goods or services are available
only if advance payment is made. In this particular case, CVENT reaches various target meeting
planner audiences and is available only if advance payment is made. Romjue Advertising does
not pay media until payment has been made to the agency by the County. Marketing staff will
monitor for advertising exposure in accordance with the insertion order.
OPTIONS: Approve or Disapprove
RECOMMENDATION: Approve payment in advance for CVENT advertising in the amount
of $13,205.88, including agency commission, for Oct 2016 - Sep 2017 diamond listings (Romjue
