BOARD OF COUNTY COMMISSIONERS
AGENDA REQUEST
DATE: September 16, 2014
TO: Honorable Chairman and Members of the Board
FROM: John Hofstad
SUBJECT: Seeking Approval to Amend Purchase of Class 1 Rip Rap.
DEPARTMENT: Public Works
BCC DISTRICT: All
STATEMENT OF ISSUE: Seeking approval to amend the purchase order for Class 1 Rip Rap
from Southern Rock & Lime for the Gilmore Road Project.
BACKGROUND & ANALYSIS: The Public Works Department requested the purchase of
class 1 rip rap for the construction of Gilmore Road. The amount of rip rap needed was not
anticipated as part of the initial project design/estimate. Bids were solicited through Purchasing
and three bids were received. Southern Rock and Lime submitted a bid meeting specifications
for a total cost of $57,776.25, however the vendor delivered more class 1 rip rap stone than the
Purchase Order specified. An amendment to the Purchase Order is requested to add additional
funds to the PO in the amount of $445.71. If approved, a final invoice in the amount of
$1,107.86 will be submitted for payment.
The Gilmore Road project is funded through FY14 Local Option Gas Tax (LOGT - 3202) in the
amount of $250,000. July 15, 2014, Public Works staff requested and the Board adopted
increasing the project funding for the Gilmore Road project from $150,000 to $250,000.
OPTIONS: Approve/Deny amending the additional purchase of class 1 rip rap from Southern
Rock and Lime.
RECOMMENDATION: Staff recommends approving the additional purchase of class 1 rip rap
from Southern Rock and Lime and paying the final invoice in the amount of $1,107.86.
