BOARD OF COUNTY COMMISSIONERS
AGENDA REQUEST
DATE: September 16, 2014
TO: Honorable Chairman and Members of the Board
FROM: Don Turner
SUBJECT: Traffic Move to Ready Ave. - Expenses
DEPARTMENT: Facility Maintenance
BCC DISTRICT: 2
STATEMENT OF ISSUE: (FM) Requests BCC approval to reimburse Facilities Maintenance
for the expenses related to relocating Traffic from the former Shalimar Annex to the Public
Works' Ready Ave. site.
BACKGROUND: A part of the planning process for the new county administration building on
the site of the former Shalimar Courthouse Annex site, involved relocating the six operating
units still occupying portions of the old annex. Capital projects accounts were established for the
expenses to relocate the three Sheriff's operations, the Guardian ad Litem, and Clerk's Records
division. What to do with Public Works' Traffic Division hadn't been completely decided until
weeks later.
After much deliberation, a decision was made to temporarily relocate Traffic to Public Works'
Ready Ave. Site in the Mosquito Control building. Much of the technology, in the form of fiber,
was moved to the south fiber head-end at the Briarwood Building. The fiber work is permanent
as it provides a back-up location for traffic control should Traffic's main location ever become
unusable for any reason.
The estimated expense for moving Traffic to Ready Ave appeared to be minimal, so Facilities
Maintenance was planning to absorb the cost out of the maintenance budget (0112-546620) so
long as it didn't drive the budget into a deficit. However, the expense of moving the fiber was
unknown at the time and ended up being over $19,500. Covering the cost of Traffic's move has
pushed the maintenance budget into the red for the year.
Staff requests BCC approval to transfer $20,104.91 from Capital Outlay - Capital Projects
Reserve (301-3160-599300) to the Facilities Maintenance budget (0112-546620) to offset the
accumulated expenses for the relocation of the Traffic Division from the former Shalimar annex
to its current location.
RECOMMENDATIONS: (FM) Requests BCC approval to transfer $20,104.91 from Capital
Outlay - Capital Projects Reserve (301-3160-599300) to the Facilities Maintenance budget
(0112-546620) to offset the accumulated expenses for the relocation of the Traffic Division from
the former Shalimar annex to its current location.
