BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: April 21, 2015 TO: Honorable Chairman and Members of the Board FROM: Zan Fedorak SUBJECT: Request Board Approval of FleetCo First Amendment DEPARTMENT: Purchasing BCC DISTRICT: All STATEMENT OF ISSUE: Request Board Approval of First Amendment to the contract with Specialty Vehicles Southeast, Inc, D/B/A FleetCo, Inc C15-2286-GM. BACKGROUND & ANALYSIS: On March 5, 2015 the County entered into an agreement with Specialty Vehicles Southeast, Inc, D/B/A FleetCo, Inc. to refurbish two (2) trolleys for a total amount of $178,637.50. Staff was aware that once the project was underway that the tear down of the trolleys could reveal hidden damage that the onsite inspection would not have exposed. This hidden damage could result in additional costs incurred due to certain specifications of the bid that could not be met. The vendor has progressed with the refurbishment and has encountered hidden damage. The vendor has provided pictures of the additional damage and these have been reviewed and validated by Fleet staff. The repair of this additional damage will increase the cost of the refurbishment from $178,637.50 to $195,843.50 ($8,603.00 additional per unit.) The Board has previously approved to move $200,000 into the appropriate grant line item so this increase will be covered by the available funding. Growth Management has approved the additional charges. Staff requests Board approval of the First Amendment to contract C15-2286-GM to increase the amount from $178,637.50 to $195,843.50 and authorize the Chairman to sign the amendment. OPTIONS: Approve/Deny the First Amendment to the FleetCo contract C15-2286-GM to increase the amount from $178,637.50 to $195,843.50 and authorize the Chairman to sign the amendment. RECOMMENDATION: Staff recommends approval of the First Amendment to the FleetCo contract C15-2286-GM to increase the amount from $178,637.50 to $195,843.50 and authorize the Chairman to sign the amendment.
