BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: May 19, 2015 TO: Honorable Chairman and Members of the Board FROM: Jeff Littrell SUBJECT: Pinnacle Data Services Amendment #1 DEPARTMENT: Water and Sewer BCC DISTRICT: All STATEMENT OF ISSUE: Staff requests the Board of County Commissioners approval of Amendment #1 to the Pinnacle Data Services contract to provide options and pricing for inserts to be printed, folded, and placed into the monthly utility bills. BACKGROUND: In 2014, the outsourcing of the utility bills was awarded to Pinnacle Data Services for the design, process, printing, and mailing of approximately 29,000 monthly utility billing statements and the occasional insertion of a customer letter or flyer (inserts). The current Pinnacle Data Services contract only priced the cost for a black and white simplex insert for all monthly utility bills. Water & Sewer staff is requesting an amendment to the price listing, to provide for more options and flexibility related to these inserts. Proposed pricing for inserts are based upon specific criteria, such as number of colors and number of sides/pages. This capability would greatly assist in the occasional need to include inserts in only a portion or all of the utility billing customers. Funding continues to be available in the Water & Sewer budget, account number 4101-534306. OPTIONS: Approve or deny. RECOMMENDATIONS: Staff recommends BCC approval for the Chairman to execute Amendment #1 of the Pinnacle Data Services contract which allows for different insert options and pricing based upon the numbers of printed sides, the quantity of inserts requested, and the colors used.
