BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: February 18, 2014 TO: Honorable Chairman and Members of the Board FROM: Don Vanderhoek SUBJECT: Polyengineering, Inc. Task Order 4 DEPARTMENT: Information Systems BCC DISTRICT: All STATEMENT OF ISSUE: The Board is requested to approve Polyengineering, Inc. Task Order 4 for professional engineering and design phase services for the Okaloosa County Fiber Optic project. This task order will provide for such services as, but not limited to, administration of existing contracts, development of future contracts, design, engineering, project cost analysis, permitting assistance, analysis of potential utility conflicts and assistance with specifications for procurement of infrastructure maintenance. BACKGROUND: The Board has worked with Polyengineering, Inc. in past efforts to obtain approval, easements and rights of entry onto military property for the Fiber Optic project. The Board has an existing general services contract with Polyengineering, Inc. The cost of services for Task Order 4 is estimated at current contracted labor rates with a not-to-exceed cost of $100,000.00. This task order has been through the Purchasing review process and funding is available in the Fiber Optic Telecommunications budget. OPTIONS: Approve/Disapprove RECOMMENDATIONS: Request Board approval and authorize the Chairman to sign Task Order 4 with Polyengineering, Inc., for engineering and design services related to the Okaloosa County Fiber Optic project.
