Bill and Ed have approved the concept. However, I wasn’t sure if I needed IS approval or not. So I figured better safe than sorry. It is an interactive floor plan service that gives clients the ability to see our rooms, determine how their event can fit within our space, etc. Since it isn’t a piece of software that is being purchased and installed on our computers I wasn’t really sure if I needed your approval to purchase this but like I said I figured better safe than sorry. The company is called iMap Multimedia. When people come to our website they will simply click on the landing page floor plans and be able to link out to this site which hosts all our diagrams and pictures in an interactive format. As a result, we were able to calculate the cost to provide you with ESP for the Emerald Coast Convention Center, You may open and view this proposal only if you agree to keep this proposal confidential and not to share it with any competing organizations to help them formulate their proposals and that this agreement may only be used by internal staff to consider us for this project. If you have any questions about this - do not open the proposals - and contact me as soon as possible. The first document in the attached is the proposal itself and the second document presents diagrams which are referred to by the first document to help us further explain and give you a better understanding of the ESP solution provided in the proposal. The total package price is 11,760 for the first year which includes the 1st year’s license, The annual license fee of 1,960 will be charged every year following. I think this is a very attractive price for a solution such as ESP. If you have any questions, please do not hesitate to call me. For you vendor search, I would recommend that a vendor should present a minimum of 5 current and live examples of Interactive Floor Plans they have created for a major Convention Center that is mobile compatible, contains sharing and collaboration tools (print, email, post-it- notes), and has a built in content manager that allows for the updating of photos and floor plans by internal staff. iMap is the only company on the Planet that offers this.
