SUBJECT: Emerald Coast Volleyball, 2014 Event Funding

STATEMENT OF ISSUE: TDD staff approved the Emerald Coast Fall Volleyball Classic for
various marketing activities outside the local area under the TDD’s special events and
sponsorships funding program for the October 2014 event. However, payment cannot be
rendered because the purchase order was not certified.
BACKGROUND: The event dates were October 1 - 5, therefore funded in the FY15 budget.
Purchasing opened the system for FY15 purchase requisition entry on September 30, and staff
entered a requisition at that time. Purchasing processed the requisition on October 1, and the
purchase order was received by Finance on October 2. The Finance office denied certification of
the purchase order on October 2 since the event start date was October 1.
In accordance with the expenses approved on the application, payment in the amount of
$3,622.30 is requested for printing and mailing of the registration letter and $7,597.60 is
requested for website impressions.
The Tourist Development Council reviewed this reimbursement request and voted to recommend
approval at its October 23, 2014 meeting.
OPTIONS: Approve or Disapprove
RECOMMENDATION: Approve payment in the amount of $11,219.90 for printing and
mailing of the registration letter, as well as website impressions, for the 2014 Emerald Coast Fall
Volleyball Classic.
