BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: March 1, 2016 TO: Honorable Chairman and Members of the Board FROM: Zan Fedorak SUBJECT: Request to approve the bid for vehicles to Hub City Ford & Empire Truck Sales DEPARTMENT: Purchasing BCC DISTRICT: All STATEMENT OF ISSUE: Request approval to award the bid for vehicle purchases to Hub City Ford (Specifications #s 3 -5, 7 - 14, 16, 17) and Empire Truck Sales (Specification #s 15, 18, 19). BACKGROUND & ANALYSIS: Purchasing staff developed a bid for the vehicles, which were included in the approved budget, in a more comprehensive format. In previous years the vehicles have been purchased with various bids through-out the fiscal year. This bid process involved developing specifications for all budgeted vehicles and including them in one bid. The awarded prices shall remain valid to September 30, 2016. This bid will also allow staff to order additional vehicles on an as needed basis based on the award and proper approvals. All vehicle purchases will follow policy requirements for threshold approvals; up to $25,000 Purchasing Manager approval, above $25,000 to $50,000 County Administrator approval, above $50,000 Board approval. Staff requests Board approval of the vehicle bids to Hub City Ford and Empire Truck Sales based on the lowest bid amount. OPTIONS: Approve/Deny award of the bid for vehicle purchases to Hub City Ford (Specifications #s 3 -5, 7 - 14, 16, 17) and Empire Truck Sales (Specification #s 15, 18, 19). RECOMMENDATION: Staff recommends approval of the award of the bid for vehicle purchases to Hub City Ford (Specifications #s 3 -5, 7 - 14, 16, 17) and Empire Truck Sales (Specification #s 15, 18, 19).
