BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: December 18, 2012 TO: Honorable Chairman and Members of the Board FROM: John Hofstad SUBJECT: Emergency Debris Removal Contract Extension DEPARTMENT: Public Works BCC DISTRICT: ALL STATEMENT OF ISSUE: Department is asking for a one year extension of its primary and secondary debris removal contracts in order to prepare an RFP for debris removal services beginning January 1, 2014. BACKGROUND: Contracts were awarded in 2007 after a competitive bid process and subsequently extended in 2009 pursuant to contract provisions for three years through Dec 31, 2012. After a recent review by our Debris Monitoring Contractor, True-North Emergency Management, it is appears prudent to issue an RFP for Emergency Debris Removal services in order to take advantage of developments in the debris management industry in recent years. Since there was not sufficient time to develop an RFP prior to the termination of the existing agreements the department is recommending a one year extension in order to allocate an adequate amount of time for drafting an RFP with review from its Debris Monitoring Firm prior to its advertisement. OPTIONS: Approve/Disapprove RECOMMENDATIONS: That the Board grant a one-year extension of the current contracts and authorize the Chairman to execute the attached renewal forms. RECOMMENDED BY: APPROVED BY: James D. Curry, County Administrator
