BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: January 5, 2016 TO: Honorable Chairman and Members of the Board FROM: Ed Schroeder SUBJECT: Task Order 177 revised DEPARTMENT: Tourist Development Department BCC DISTRICT: 2,4,5 STATEMENT OF ISSUE: Request approval for Chairman to sign Task Order 177 Revised titled Campaign Collateral Update, contract C12-2007-TDC Peter A Mayer Advertising. BACKGROUND: Task Order 177 is being revised to reflect cancellation fees and changes as a result of rescheduling the photo shoot due to inclement weather and red tide. Since the County directed the agency to cancel the October shoot within 24 hours of the shoot, payment of all expenses incurred up to the time of cancellation, as well as production crew and talent fees for the cancelled days are due in addition to the original contract amounts incurred when the shoot is rescheduled. This is industry standard procedure and is considered fair given the inability for crew and talent to book other work on the canceled days. The shoot was cancelled again in November due to red tide, but with sufficient notice to avoid cancellation charges. The shoot finally took place in early December. OPTIONS: Approve or Disapprove RECOMMENDATION: Approve Peter Mayer Task Order 177 Revised titled Campaign Collateral Update in the amount of $160,424, and authorize the Chairman to sign.
