BOARD OF COUNTY COMMISSIONERS
AGENDA REQUEST
DATE: November 4, 2014
TO: Honorable Chairman and Members of the Board
FROM: Zan Fedorak
SUBJECT: Seeking Board Approval of A Direct Pay to Cartegraph
DEPARTMENT: Purchasing
BCC DISTRICT: All
STATEMENT OF ISSUE: Seeking Board approval of a Direct Pay to Cartegraph.
BACKGROUND & ANALYSIS: Cartegraph licensing renewal is associated with existing
software which is proprietary to Public Works. This software is used for the Public Works work
order system which is essential for their operations. The payment request for this
renewal/support was entered timely as a requisition by Public Works staff. Purchasing, in
cooperation with the Finance Department, is making an effort to convert all software
renewals/support to contracts for more efficient payment and tracking capability. Purchasing
staff has been successful with creating a contract with Cartegraph and a contract payment is in
progress.
Cartegraph representatives have stated they will no longer support the software and the licenses
will be deactivated if payment has not been rendered by November 15, 2014. If there is an
unforeseen delay in processing the contract payment, staff requests Board authorization to issue a
direct payment of $17,235 to Cartegraph for the software license renewals/support.
OPTIONS: Approve/Deny a direct payment to Cartegraph if necessary to render payment prior
to November 15, 2014.
RECOMMENDATION: Staff recommends approval of a direct payment to Cartegraph if
necessary to render payment prior to November 15, 2014.
