STATEMENT OF ISSUE: Request approval to issue a Request for Proposals (RFP) for
tourism website hosting & maintenance services and appoint members of the review committee.
BACKGROUND: Management of the County’s tourism website (emeraldcoastfl.com) is
included in the current contract for marketing, advertising, public relations, website
management, research, social media, and social networking held by Peter A. Mayer Advertising,
which expires February 27, 2016. Staff is negotiating with the agency to retain website services
through April/May.
Staff is evaluating all marketing functions and requests permission to issue a solicitation for
website management services. A website-oriented vendor may be able to provide more
specialized expertise and greater website flexibility and functionality as compared to an ad
agency, as well as allow for continuity of website management services regardless of who
performs the County’s advertising functions.
The following seven RFP review committee members are proposed: Tourist Development
Department Director, Research & Development Manager, Convention Services Manager,
Information Systems Department representative, Tourist Development Council representative,
VisitFlorida digital strategy executive, and a website expert from Northwest Florida State
College or University of West Florida. The Purchasing Department will coordinate the process
and serve as a facilitator for meetings of the review committee.
OPTIONS: Approve or Disapprove
RECOMMENDATION: Issue a Request for Proposals (RFP) for tourism website hosting &
maintenance services and appoint the aforementioned members of the review committee.
