Purchasing Director) Council Action 1st 2nd Vote: Agenda Item Number: CA- 4 CITY OF FORT WALTON BEACH COMMUNITY DEVELOPMENT SERVICES DEPARTMENT MEMORANDUM Date: March 15, 2005 To: Joyce Shanahan, City Manager Through: Missy McKim,AICP, Director . J\I\~ \ '^- Community Development Services~V \ From: Peggy Fowler, AICP, Planner II Community Development Services SUBJECT: Replace City Wayrmding Signs Damaged by Hurricane Ivan BACKGROUND Winds from Hurricane Ivan damaged twelve ( 12) of the City' s wayfinding signs that were designed and manufactured under a contract with Guidance Pathway Systems, Inc. in 2000 and 2001. Because in some cases, the signs were not totally destroyed, the repair work must match as closely as possible the materials, design and colors of the existing signs. In addition, the unique laser- cut wave logo designed for the City' s wayfinding sign system, must be matched as closely as possible on all signs that are repaired or replaced. The damage to the signs was estimated to be in excess of $ 12, 000. Based on the fact that these signs have to be custom- made to match the existing signs and that, when the original contract was bid for the wayfinding signs, only one response was received out of35 proposals solicited for the design and manufacture of wayfinding signs, the City requested quotes from six ( 6) regional sign companies, as well as Guidance Pathway Systems, Inc., in order to determine if it would be cost- effective to use the formal bid procedures. Several of the regional sign companies followed up with questions about repairing/replacing the signs, but none turned in a quote. SUMMARY Pursuant to Chapter 2, Section 2- 266, Purchasing Policies and Procedures, Ft.Walton Beach Code of Ordinances, staff requests authorization to award the contract for
