Joanne Kublik From: Mike Stenson Sent: Tuesday, July 08, 2014 9:32 AM To: Zan Fedorak Ce: Sunil Harman; Tracy Stage Subject: RE: Aircraft Maintenance RFQ at VPS Attachments: RFP Preventive Maintenance Proposals.doc Good morning Zan, Per our discussion yesterday, we would like for you to take to the Board on 8/5 the recommendation to reject the 1 bid received and re-advertise as the scope of work has changed. The sole bidder will be encouraged to resubmit. Background: ERMC is currently under contract to provide quarterly preventive maintenance on the airports passenger boarding bridges, ground power units and preconditioned air units at a cost of $29,548 per year. Their contract will expire on October 1 of this year and we do not intend to renew. We would like for the aircraft maintenance provider to perform the quarterly maintenance. The scope of work (attached) needs to be added to the Aircraft Maintenance RFQ. Please send me the RFQ prior to advertising and we will provide you with contacts. Thank you and please let me know if you have any questions. Mike Michael J. It was my understanding that based on some additional thought on this solicitation, you want to expand the scope of services (work) for this RFQ. We have one submittal based on the initial request and scope of work. If you want to go back out with a new RFQ with the expanded scope of services the Board will have to formally reject the submittal on the first attempt. We will need to request that a new RFQ be advertised with the expanded scope. | would suggest that be planned for the Aug 5" Board meeting. Thanks Zan From: Zan Fedorak Sent: Monday, July 07, 2014 8:49 AM To: Mike Stenson Subject: RE: Aircraft Maintenance RFQ at VPS Good Morning Mike, | did discuss this with Greg. | need to follow up with him today. 1’ll be in touch this afternoon. Thanks Zan From: Mike Stenson Sent: Monday, July 07, 2014 8:38 AM To: Zan Fedorak Subject: RE: Aircraft Maintenance RFQ at VPS Good morning Zan, What did Greg say about our ability to re-advertise? If I’m not mistaken, isn’t there boiler plate language in the RFQ that says we have the right to not accept any bids? Mike Michael J. Stenson Deputy Director Okaloosa County Airports (850) 651-7160 Ext. 4 www.FlyVPS.com From: Mike Stenson Sent: Monday, June 30, 2014 10:55 AM To: Zan Fedorak Subject: Aircraft Maintenance RFQ at VPS Good morning Zan, Per our recent discussion, we have received only one quote from the RFQ and unfortunately there was a disconnect and the RFQ was not advertised nationally. The selection committee has not yet met to review the quote, and | just learned this morning that we would like to expand the scope of work to include maintenance on the passenger loading bridges. Can we re-advertise the RFQ nationally and of course allow the one quote received to resubmit? Mike Michael J. Stenson Deputy Director Okaloosa County Airports (850) 651-7160 Ext. 4 www.FlyVPS.com
