Emerald Coast Convention Center (ECCC) Event Space Presentation Software (ESP Advanced) Price Proposal Item Description Start Point: The viewer will immediately see the interior floor level within the ECCC. Diagram1. Floor Level The floor level will be presented in a 3d model to give the viewer an over-all comprehension of the Diagrams entire facility and all its meeting space options. Clicking on the screen will display the floor level in a topographic view, and dynamically present corresponding information regarding that floor level. Diagram 2. To create the topographic floor levels, iMap will utilize a proprietary process to recreate the floor plans from current plans for quick and clear online use. Floor Plan While viewing the floor level in topographic view, the largest possible meeting rooms and ballrooms will Interactivity be presented in a unique color. Clicking on a colored conference/meeting room will simultaneously; hi- light the conference room selected and dynamically present imperial dimensions, maximum capacity figures and up to six (6) set-up option buttons, and a room description. Diagram 3. When clicking on a colored meeting room that can be partitioned, a drop down menu will automatically appear to suggest partition-able options. A user may select an option that will split the conference room into the option selected. Each partition of a meeting room will act as any other normal colored meeting room. Diagram 3. Total meeting room count is 28. 4 interactive room list drop downs are required to allow the user to partition and view derivative meeting rooms. Meeting Room When a meeting room is selected, the viewer can click to select any one of up to six setup option Details buttons (in Diagram 3), which will present that meeting room setup details page. Diagram 4. Here, the viewer will immediately see an image (diagram or photo) of this room’s setup and can view up to 6 other images for this setup simply by clicking one of the thumbnails displayed on the left. The viewer can also select alternative setup options that they wish to view for this room, by clicking on any other setup option button. Meeting Room Clicking on the search icon a viewer will be brought to the meeting room search page where a viewer Search can search for specific meeting space ideally suited for their event based on specific criteria. Viewers can enter type of function & number of attendees to create a rooms list that displays all the meeting space within your facility that’s ideally suited for this specific function. Diagram 5. Clicking a room name within the resulting rooms list will open the corresponding meeting room setup details page. Diagram 6. Booking Request When a viewer has found the ideal meeting space, they can click to select the booking request button to open the request booking details form, prompting the viewer to provide the necessary information to request this space, which is immediately sent as an assigned email to an internal employee. ESP Content Upon username and password authentication, internal staff, anywhere, anytime, can manage all the Manager meeting room content displayed within the meeting room setup details pages. Here you can upload and delete up to 7 images (diagrams and photos in jpeg/jpg format up to 1MB is size each) for this set-up, or select and alternative setup to manage. Diagram 10. Select the data button to edit all the dimension, capacity and description data for this meeting room. Diagram 11. Select the text button to edit the intro message and floor level information. Sharing & Print: Click the select the print button to print whatever is displayed on the screen, no matter where Collaboration they are in the application. Tools Post-It-Notes: Click to select the post-it-notes buttons to create notes and place them anywhere on screen with any amount of content, attached with a moveable connecting line and dot to the area of interest. Not available for mobile version. Email: Click to select the email button to immediately send an email message with an attached link to this page and a .jpg image of what is on screen. Data Import From an Excel spreadsheet or an alternative acceptable electronic copy, all the dimension and capacity data will be imported into the application, for each meeting room. Annual License Fee is adjusted annually for inflation. The entire venue and the number of meeting rooms and possible room partitions are based on the floor plans & capacities presented to us either online or from provided documentation, and that this floor plan constitutes the entire facility requiring no redesigns or edits to walls, labels or otherwise. Some items may require the client to provide information such as floor plans and capacity charts or any other related material, etc., to iMap in acceptable formats and timeframes. Example diagrams presented are visual aids only and will likely be presented slightly different for your solution. Maintenance & Service ensures the program will work as it should throughout the license period and provides the client access to iMap’s development team to schedule in and receive additional development and solutions services, not presented in this proposal, at iMap’s guaranteed posted hourly rate of $150 U.S. per hour. The Total is a packaged price and because it is discounted for the Emerald Coast Convention Center, the client agrees to keep this pricing confidential and will also consider answering a questionnaire to measure success which can be used for publishing a case study. Client agrees to our industry standard Software Agreement. Any additional legal fees incurred to emend our Software Agreement, will be added to the Total. Client agrees to make payments via wire transfer – all required documents will be provided to client for easy processing. Prices are based on the pricing assumption provided above. If any of the above changes, the Total will reflect that change. Payment Arrangement: iMap will require 2 separate payment installments: st 1) 33% of Total plus the 1 year’s Annual License Fee will be payable on acceptance of software agreement. 2) 67% of Total will be invoiced upon completion and acceptance of the project.
