BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: May 6, 2014 TO: Honorable Chairman and Members of the Board FROM: Zan Fedorak SUBJECT: Airport Contract Extensions DEPARTMENT: Purchasing BCC DISTRICT: All STATEMENT OF ISSUE: Airports has requested an extension of the contracts with The LPA Group, Inc. (C09-1736-AP) and Reynolds, Smith and Hills, Inc. (C09-1737-AP) for completion of previously approved Task Orders. BACKGROUND & ANALYSIS: Contracts with The LPA Group, Inc. and Reynolds, Smith, and Hills, Inc. will expire on July 8, 2014. There are currently four (4) Task Orders (#12 Amend 1, #15, #16 & #17) with the LPA Group, Inc. and two (2) Task Orders (#13 & #15) with Reynolds, Smith, and Hills, Inc. which have on-going work that will not be completed before the expiration of the contracts. Both of these contracts were approved to provide professional, architectural, engineering and aviation planning services. Airports requests Board approval to extend the terms of the contracts until the completion of the existing Task Orders. No new Task Orders will be initiated during the extended term. All existing Task Orders will be completed under the terms and conditions of the original contract agreements. The contracts will expire when the final Task Order has been completed. Insurance requirements will be monitored and extended as necessary. In addition, the contract renewals previously stated that the annual budgeted amount for these contracts was $50,000. This statement was included in the renewal to indicate the threshold of the approval not the total amount of work that was projected. The original contracts did not indicate a yearly budgeted amount. OPTIONS: Approve/Disapprove the extension of the contracts with the LPA Group, Inc. (C09- 1736-AP) and Reynolds, Smith, and Hills, Inc. (C09-1737-AP) for the completion of existing Task Orders.
