BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: November 1, 2016 TO: Honorable Chairman and Members of the Board FROM: Darrel Jones SUBJECT: Reunions Magazine DEPARTMENT: Tourist Development Department BCC DISTRICT: 2,4,5 STATEMENT OF ISSUE: Request approval for payment in advance for Reunions Magazine advertising for Oct-Dec 2016 online banners. BACKGROUND: Online banner advertising with Reunions Magazine places The Emerald Coast Convention & Visitors Bureau in front of diverse types of reunions (e.g. family, military, class). The vendor requires payment in advance in the amount of $450.00 for the quarter Oct- Dec 2016. Per County policy, Board approval for advance payment may be requested if the payment results in savings equal to or greater than the amount earned by investing the funds and paying later or if the payment is essential to the operations of the agency and the goods or services are available only if advance payment is made. In this particular case, Reunions Magazine reaches various target group audiences and is available only if advance payment is made. Romjue Advertising does not pay media until payment has been made to the agency by the County. Marketing staff will monitor for advertising exposure in accordance with the insertion order. OPTIONS: Approve or Disapprove RECOMMENDATION: Approve payment in advance for Reunions Magazine advertising in the amount of $529.41, including agency commission, for Oct-Dec 2016 online banners (Romjue invoice 2063).
