9 Packet Pg. 45 BOARD OF COUNTY COMMISSIONERS AGENDA REQUEST DATE: November 18, 2014 TO: Honorable Chairman and Members of the Board FROM: Don Turner SUBJECT: Service Payment - Systems Specialists DEPARTMENT: Facility Maintenance BCC DISTRICT: 3 STATEMENT OF ISSUE: Requests BCC approval to pay Systems Specialist's for services rendered at the Water & Sewer building. BACKGROUND: Early in FY '14, Facilities Maintenance received a service request from Water & Sewer reporting water dripping in several areas of the building. The subsequent investigation revealed failures in multiple components of the HVAC and HVAC controls systems. Systems Specialist's, Inc. (SSI) was the vendor that installed the HVAC controls systems several years ago. Systems Specialist's technicians made several trips to the Water & Sewer building to diagnose the problems and install the new parts. The Water & Sewer Department customarily would pay SSI's bill with a county purchase card. The cumulative charges for all work performed by SSI over several weeks came to $3,610.00. In the absence of a service contract with SSI, there's no authority in place to pay a $3,610 invoice. Staff recommends BCC approval for payment to SSI for services rendered to Water & Sewer for repairs to the HVAC systems and controls in the amount of $3,610.00. RECOMMENDATIONS: (FM) Requests BCC approval to pay Systems Specialist's $3610.00 from account number 411-4101-546620 for services rendered at the Water & Sewer building.
