BOARD OF COUNTY COMMISSIONERS
AGENDA REQUEST
DATE: December 3, 2013
TO: Honorable Chairman and Members of the Board
FROM: Jeff Littrell
SUBJECT: Final Payment - Electric Motor Repair Service
DEPARTMENT: Water and Sewer
BCC DISTRICT: ALL
STATEMENT OF ISSUE: OCWS Staff requests BCC approval of a final payment, in the
amount of $4,230.00 to Electric Motor Repair Service on contract C09-1695-WS.
BACKGROUND: OCWS entered into an agreement with Electric Motor Repair Service in
2008.This contract was to provide repair services for electric motors and pumps serving pump
stations, water wells and treatment plants. The original contract term and all available renewals
expired at the end of FY2013. The final payment on this contract is now due. Approval is
requested for payment of the final three outstanding invoices for FY2013 totaling $4,230.00.
Copies of the three final invoices and the contract payment approval form are attached. Please
note that Invoice #12414 and Invoice #12455 are for recondition of 50 HP Hollowshaft Motors
from the Newcastle stormwater retention pond (one on each invoice for a total of two motors).
The charges for those two invoices will be paid with funds from the Public Works department, as
this facility is not an OCWS facility.
Moving forward into the future, because the old contract had expired and run out of authorized
renewals, staff put this service out to bid. Electric Motor Repair was the lowest responsive and
responsible bidder meeting all of the qualifications and specifications. On August 20, 2013, the
BCC approved the bid award to Electric Motor Repair. Because the commodity was bid out and
there are new prices, there is now a new contract with Electric Motor Repair. Now that the final
service has been completed for FY2013, final payment is now due on the previous contract.
OPTIONS: Approve or deny the final payment for Electric Motor Repair.
RECOMMENDATIONS: Staff recommends BCC approval of final payment in the amount of
$4,230.00 to Electric Motor Repair Service on contract C09-1695-WS.
